Prepare for Meetings with AI

By Amandine Flament · 24 June 2026 · 5 min read

Meetings are won before you walk in. Arriving with a clear agenda and anticipated questions changes everything. AI helps you prepare without spending an hour on it, so you can be fully present.

Build an agenda with an outcome per point

Every agenda item should aim at a result: decide, inform, brainstorm. Ask the AI to reframe your topics as clear objectives. "Budget" becomes "approve the marketing budget for the quarter."

Sample promptI'm meeting 5 people for 45 minutes on these topics: [list]. Build a timed agenda with an objective, a time slot, and an expected outcome per item. Put the important decisions first.

Anticipate the hard questions

What throws you off are the questions you didn't prepare. Describe the meeting to the AI and ask for the ten most likely questions, including the awkward ones. Prepare your answers cold.

Prepare your own questions

A good meeting is an exchange, not a monologue. Have the AI prepare the sharp questions worth asking — they show your preparation and often matter as much as your answers.

🎯 The test: if an agenda item can't be tied to a clear objective, it doesn't belong in the meeting. Drop it or handle it by email. That's how an hour becomes thirty minutes.
