Writing an email that strikes the right tone takes longer than it should. AI won't replace your judgment, but it turns a blank page into a solid first draft you only need to adjust. Here's the method that actually works.

Give three things, not one

The quality of a generated email depends entirely on what you provide. A good prompt has three parts: who you're writing to, what outcome you want, and the tone you're after. Skip these and you'll get generic filler.

Keep control of the opening and closing

These are the two spots where AI sounds most robotic. Always reread the first and last line — that's where your voice lives. Swap a generic "I hope this email finds you well" for something tied to the real context.

Turn it into a template, not a one-off

The real gain isn't writing one email — it's writing the same kind of email faster, a hundred times. Once a result works, ask the AI to turn it into a template with brackets to fill in.
